Guidelines for service co-ordinator

The service coordinator exercises operational oversight of the Sunday service. You overseer each service team and troubleshoot, both proactively by looking for things that need to be done, and retroactively when things go wrong.

Before the Service

  • Please Arrive at 8:30am for the 9:30am service.
  • Please attend the pre-service run-through in the meeting room.
  • Walk around the front of the building and check general appearance (litter etc).
  • Check with a staff member if there are any special requirements for the morning.
  • Please ensure that you were your identification lanyard.

Lobby

  • Turn on lights in the lobby, and the hallway to the toilets.
  • Ensure that there is a table with a black table cloth under the members notice board.

Keys

  • Your keys are in the key safe.

Main hall

  • Turn on lights.
  • Open windows (if necessary).
  • Turn on fans (if necessary). Do not turn the fan on by the overhead projector.
  • Ensure the seats are set up for the service.

Toilets

  • We have toilets by the mother’s room, main hall, and fellowship hall.
  • Turn on lights and open windows.
  • Ensure there are two toilet roll in the toilets. Speak to the church secretary if you need toilet paper.

Fellowship hall

  • Turn on lights.
  • Open windows (if necessary).
  • On Sundays when we have Sunday school, do not open the main entrance as we want to control access to the Sunday school.

Communion

  • Ensure that the wooden table is in the front of the church.

Prayer/Mother’s Room

  • Turn on lights.
  • Ensure the speakers are on and working during the worship practice.

Duty Roster

  • Check the duty roster (posted to notice board in the lobby) to see who is assigned to door duty and stewards.
  • Check everyone has arrived. If someone hasn’t arrived assign the role to another appropriate member.
  • Check that they have what they need (bulletins are printed for the door greaters, offering bags are available for the stewards, elements are set up for the stewards).

Health and safety

  • The emergency contact list is posted on the top left of every notice board.
  • There is a medical box in the church kitchen, and in the office kitchen.

During the service

  • Remain in, or near, the lobby.
  • Close the doors to the main hall when the service starts.
  • Ensure the door between the library and the lobby remains closed.
  • Count the cars in the car park. And the cars parked outside. Send the count to Mark.
  • Count every adult and child in the main hall and mother’s room when the sermon starts. Send the count to Mark.
  • Send the count to Mark during the week.

After the Service

  • On Sundays when we have Sunday school, open the main entrance during the benediction so people can access the fellowship hall for tea and coffee.
  • Close all windows.
  • Turn off all lights.
  • Turn off all fans.
  • Lock all doors.
  • Return the keys to the key safe.
